This policy explains what personal information Golf with Ireland collects, why we collect it, who we share it with and what your rights are.
1. Who we are
Golf with Ireland Ltd (trading as Golf with Ireland) is responsible for your personal information. We are registered in Northern Ireland (company number NI648938). Our registered office is at 594 Saintfield Road, Carryduff, Belfast BT8 8BL.
For any question about your information, email tours@golfwithireland.com or call 028 9051 1267.
2. What we collect and why
- Enquiries. When you use our enquiry form, email or call us, we collect your name, email address, phone number and your message. We use them to reply and to plan your trip. (Lawful basis: our legitimate interest in answering enquiries, or taking steps at your request before a booking.)
- Event and trip bookings. We collect the details on the booking form for each golfer: name, email address, phone number, address, gender and, for some events, whether you are vegetarian. We use gender to organise men’s and women’s competition categories, and dietary information only to arrange your meals with the hotel or club. We also collect billing details and a record of what you have booked. We use this information to manage your booking, to pass the necessary details to golf clubs and hotels, and to contact you about your booking. (Lawful basis: to perform our contract with you.)
- Store orders. For merchandise and gift vouchers we collect your name, billing and delivery address, email address and phone number, so that we can process and deliver your order. (Lawful basis: contract.)
- Payments. Card and PayPal payments are handled by our payment providers, WooPayments (powered by Stripe) and PayPal. We do not see or store your full card details.
- Accounts and records. We keep records of bookings and payments to meet our accounting and tax obligations. (Lawful basis: legal obligation.)
- Website analytics. Only if you agree, we use Google Analytics to understand how visitors use our website, for example which pages are popular. (Lawful basis: consent.)
- Spam protection. Our enquiry form uses Google reCAPTCHA to stop spam and abuse. (Lawful basis: our legitimate interest in keeping the website secure.)
We will not send you marketing emails unless you have agreed to receive them, and we never sell your information.
3. Who we share it with
- Golf clubs, hotels and transport providers involved in your event or trip, but only the details they need.
- Our payment providers: Stripe (for WooPayments) and PayPal.
- Our website host, 20i, and the service providers that run our website and email.
- Google, for reCAPTCHA and, if you agree, Google Analytics. Our videos are embedded from YouTube in privacy-enhanced mode.
- Our accountants and professional advisers, and public authorities such as HMRC where the law requires it.
Some of these providers, such as Google, Stripe and PayPal, may process information outside the UK. When they do, they use the safeguards required by UK data protection law.
4. How long we keep it
- Enquiries: for as long as we need them to deal with your enquiry and any booking that follows, and no longer than two years.
- Booking, order and payment records: six years from the end of the financial year they relate to, as required for accounting and tax purposes.
- Analytics data: no longer than 14 months in Google Analytics.
5. Your rights
You have the right to ask for a copy of your information, to have it corrected or deleted, to restrict or object to how we use it, and to receive it in a portable format. Where we rely on your consent, you can withdraw it at any time. To make a request, email tours@golfwithireland.com. We will respond within one month.
If you are unhappy with how we have handled your information, please contact us first. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
6. Cookies
Cookies are small files stored on your device. We use:
- Essential cookies: needed for the website to work, for example to keep items in your basket, process checkout and keep the site secure. These are always on.
- Spam-protection cookies: set by Google reCAPTCHA on our enquiry form.
- Analytics cookies (only with your consent): Google Analytics cookies (
_ga, _ga_*) and WooCommerce order-source cookies (sbjs_*), which record how you found our website.
We remember your choice in a cookie called gwi_consent for six months. You can change your mind at any time: change your cookie settings.
